A ‘Day in the Life’ of the Property Management team

Rachel Drenth, Michelle Miller and Debra Ellison

Every day is an adventure for the CSU Property Management team. For the University to track and verify capital assets, the team of Debra Ellison, Rachel Drenth and Michelle Miller keep the process running smoothly.

Debra creates assets in the Kuali system, approves requisitions and assigns the initial decal for asset tracking. Inventory Specialists Michelle and Rachel are tasked to find capital assets to affix decals to them and update the asset record. All CSU assets are inventoried through a perpetual process taking two years and involving 127 departments.

Assets are tracked throughout their life cycle until disposal through Surplus Property. Property is currently tracking nearly 14,000 assets in multiple locations around the world. Rachel and Michelle find assets that are underground, on rooftops and everywhere in between, so Rachel and Michelle have their work cut out for them to find each one.

“We have the best job on campus,” they tell CPC. “We spend our days learning and discovering what an amazing community we have here at CSU.”

Even with the recent change of the capital asset threshold to $10,000 for CSU owned assets, (it is still $5,000 for the federal assets and assets purchased prior to FY24), their days have not slowed down one bit. To stay in compliance with external regulations, Property Management was driven to innovate and implement enhanced procedures due to COVID-19, and CSU was one of the few universities that met reporting deadlines.

The CSU property team works with many universities and has vast connections in the University Property network. CSU Property Management is a leader among higher education, and CSU’s property processes are replicated by many universities.

“There are amazing things being done by amazing people here at CSU, and we are privileged to see that every day during our interactions with campus personnel.”
